Planning your event

When planning your event, please read our event guide(PDF, 576KB) to get help with: 

  • our event notification and application process
  • minimising your impact on the environment
  • laws and regulations. 

You may need to notify us of your event. Please note we cannot guarantee exclusive use of the land. 

Select your event type below and complete the required steps with as much notice as possible. Larger community and private events may require more processing time.  

Commercial

A commercial event is an event with an entry fee or promoting a commercial entity. This includes triathlons, product demonstrations and car shows, among other categories.

Step 1.Read about the process

Expressions of interest (EOI) are open for individuals or groups who wish to conduct commercial activities on Council land. Please allow up to 12 weeks from the date of the submitted EOI for a notice of outcome.

Successful licencees will be required to provide the applicable insurances, risk management plans and traffic management plans and to obtain relevant permits as outlined in the licence terms and conditions.

Community and charity

Step 1.Gather your documents

Community and charity event organisers are required to complete the Event Notification Form at least 20 days before the proposed event date.

When you apply, you will need to provide:

  • The event location and date
  • A detailed site map (where you plan to place structures)
  • Public liability insurance
  • A risk management plan (for larger events)
  • A traffic management plan (if you are closing a car park or using car spaces). 

Step 2.Complete the online form

Private

Private events are functions for a select group of people, such as family and friends. 

Step 1.Do you need to notify us?

You need to notify us if your event has:

  • More than 100 people attending
  • BYO equipment (marquees, tables, chairs, bouncing castles, PA systems etc). 

Step 2.Gather your documents

You will need to provide:

  • the event location and date
  • a detailed site map (where you plan to place structures)
  • public liability insurance (if applicable) 
  • An authority to fundraise letter from your nominated charity (if you’re donating proceeds from your event) 
  • A risk management plan (for larger events)
  • A traffic management plan (if you are closing a car park or using car spaces).

Weddings

Step 1.Gather your documents

You will need to provide:

  • the wedding location and date
  • a detailed site map (where you plan to place structures)
  • public liability insurance.

Step 2.Complete the online form

Fill out the wedding event notification form to get a permit for your wedding. 

Yes, if it is a small marquee that is weighted not pegged. If you plan to use a large marquee from a hire company, fill out the private event notification form.

No. Free BBQs are provided at many of our public parks for community use.

Find a park with a BBQ

No. They are for the whole community to use. We suggest you arrive early to secure your spot.

There are drinking fountains at many of our parks. You cannot tap into the emergency electrical and water boxes.

Petals are preferred and should be cleaned up with any other rubbish.

Most toilets in public parks are open during the day. If not, you can collect a key from us during business hours prior to you event. A deposit is required. For larger events, you may need to hire more toilets.

Smoking is banned:

  • in all outdoor areas where food is being served
  • within 10 metres of a food stall or van
  • at patrolled beaches within 50 metres of the red and yellow flags

Outdoor drinking areas allow smoking if they are:

  • at least four metres from outdoor dining areas 
  • separated from outdoor dining areas by a 2.1 metre wall

Alcohol is banned in some public areas around Kingston.

You will need a permit from Council to host a street party, however our main priority is to enable you to create a fun event for yourself and your neighbours.
